The GAPS 2.0 Program Administrator is the operational backbone of the GAPS 2.0 program suite — a four-track alumni development initiative encompassing GAPS Core, ACE, GAPS Premium, and Data & Organizational Stewardship. This role functions as the program's integrating layer: maintaining shared systems, routing cross-team communications, and ensuring that a distributed, high-performing team moves together in alignment with program-wide goals.

This is not a traditional administrative support role. The Program Administrator holds cross-program visibility and process ownership across every component of GAPS 2.0. When this position functions well, the program advances on time and with coherence. The role carries institutional knowledge and operational authority that are difficult to replicate and essential to the program's continuity.

Program Operations

  • Serve as primary administrator of GAPS 2.0 Team calendar, National Communications calendar, Internal GAPS 2.0 Process Flow, and any CRM tools in use by the GAPS 2.0 program; stakeholder relationships and data integrity will be a shared responsibility with the GAPS 2.0 Program Director
  • Maintain core GAPS 2.0 program tracking documents and workflow systems
  • Monitor cross-program workflow status; surface bottlenecks before they disrupt timelines and coordinate resolution across program tracks
  • Set and manage program meetings and key team touchpoints on behalf of the Program Director

Communication & Coordination

  • Serve as the primary communication liaison between the Alumni Relations development team and internal GAPS 2.0 stakeholders
  • May manage working relationships with Regional Directors and Development Stakeholders in support of program-wide initiatives
  • Support design and formatting of program-facing communications, infographics, and visual documentation
  • This position does not provide direct administrative support to field staff

Systems & Documentation

  • Maintain program records including GAPS tracking sheets, ACE Stages tracker, and program reporting documents
  • Administer MailChimp for program-wide partner and donor communications
  • Support the development and deployment of the GAPS 2.0 field CRM; this role is the anticipated primary administrator of the system at scale
  • Serve as a capable point of contact for systems and workflow questions from GAPS 2.0 team members
